How to Sync Reservations with Google Calendar

What Gets Synced to Google Calendar

Once connected, Ride Sync automatically creates Google Calendar events for your reservations. Each event includes:

Event Title — The reservation details (customer name, service type). If "Display Assigned Driver in Event Title" is enabled, the driver's name will also appear in the event title for easy identification.

Date & Time — The pickup date and time from the reservation.

Event Description — Key reservation details including pickup/drop-off locations, passenger count, vehicle type, and any special instructions.

How Syncing Works

The Google Calendar sync is one-way — changes made in Ride Sync automatically update your Google Calendar, but changes made directly in Google Calendar will not update Ride Sync. Always make reservation changes within Ride Sync to keep everything in sync.

New reservations appear on your calendar within a few seconds of being created. Updates to existing reservations (time changes, cancellations) are also reflected automatically.

Display Assigned Driver in Event Title

When this setting is enabled, the assigned driver's name is added to the Google Calendar event title. This is especially useful if you share your calendar with dispatchers or team members, making it easy to see which driver is handling each reservation at a glance.

Disconnecting Google Calendar

To disconnect your Google Calendar integration, navigate to Settings → Integrations and click the disconnect option next to Google Calendar Integration. Previously synced events will remain on your Google Calendar but will no longer update automatically.

Troubleshooting

Events are not appearing on Google Calendar — Make sure you authorized the correct Google account during setup. Check that you're viewing the right calendar in Google Calendar (Ride Sync events appear on your primary calendar).

Try disconnecting and reconnecting the integration. Make sure you've granted all the required permissions during setup.

Calendar events are outdated or incorrect — Verify that you made the changes in Ride Sync (not directly in Google Calendar). The sync is one-way from Ride Sync to Google Calendar.

"Sign in with Google" button is not working — Try disabling your browser's pop-up blocker temporarily, as the Google sign-in process opens in a new window. If the issue persists, try using a different browser or clearing your browser cache.

Need to switch Google accounts? — Disconnect the current integration first, then reconnect using the new Google account by clicking "Sign in with Google" again.
