1. Select a Service Type and Choose Pickup Date, Time, and Route
When a customer opens your Ride Sync portal — embedded on your website or via a shared URL — they see your branded booking page. They begin by selecting a service type from the list of preset and custom services you've configured.
From the available options, they select a custom service such as "Downtown Dallas to DFW Airport." They can also review any description you've added for this service, which appears under the service name and explains what it includes.
The customer selects the pickup date from the calendar.
They then select the pickup time, for example 8:00 PM. If Ride Sync isn't accepting reservations at that time, the system prompts them to pick a different one — the customer adjusts the time, for example to 7:00 PM, until an available slot is found.
Because this is a custom service type with predefined locations, the destination address is filled in automatically at the bottom of the form. The customer specifies their pickup point — for example, American Airlines Center in downtown Dallas — and the map updates to show the route.
2. Enter Passenger Count, Luggage, and Optional Trip Add-Ons
The customer specifies the number of passengers, for example two, then enters the number of luggage items and indicates whether a child seat is required.
At this stage, the customer can also add a return trip or additional stops if their reservation needs them.
3. Select a Vehicle and Booking Type
The customer moves on to vehicle selection, where they see a list of available vehicles. Because instant booking is enabled in your Ride Sync settings, some vehicles can be booked instantly while others are request a quote only. For example, a Mercedes E-Class might be quote-only, while a Mercedes Vito is enabled for instant booking. In this example, the customer selects the Mercedes Vito for $62 to book instantly.
4. Enter Reservation and Flight Details
On the next screen, the customer enters their reservation details, including contact information and any required fields you've configured. They can also add flight details — selecting the airline (for example, American Airlines) and entering the flight number, such as AA 100 — so you can track their arrival more accurately. If they have no special requests, they can leave that field blank.
5. Review the Booking Summary and Proceed to Payment
Once all trip details are entered, the customer selects "View Details and Confirm Payment." The payment page shows a summary of the reservation — service type, pickup details, vehicle selected, and total cost. To confirm the reservation, they submit payment. In this example, your settings require only 50% of the reservation amount upfront, so the amount due now is $31 on a $62 trip.
6. Submit Payment and Confirm the Reservation
The customer can log into an existing account to use a saved card for faster checkout, or continue as a guest and enter a new credit card. Apple Pay, Google Pay, or Link are also available where supported. After entering payment information, they submit payment to finalize the booking.
Once payment is processed, the confirmation screen shows the reservation has been confirmed along with the amount paid — in this case, $31.
7. View and Understand the Invoice
From the confirmation screen, the customer can select "View Invoice." On the invoice page, they see:
A breakdown of all charges
The amount already paid
The remaining amount due, if any
The customer automatically receives a receipt email, and you receive an email confirming the reservation has been paid for and confirmed.
8. Manage the Reservation and Finalize Payment
The confirmed reservation appears on your Ride Sync reservation dashboard, where you can assign a driver, adjust details if needed, and manage your schedule. The customer can finalize any remaining payment either before the trip date or after the trip is completed, according to your payment and invoicing settings.
